Deck Estimate Template (2026): Editable Worksheet and Example

Unfinished cedar boards stacked on timber supports
On this page7

A deck estimate template keeps surface work, framing, railing and removal distinct. Set out if the job is decking replacement or a larger rebuild before counting goods. An area alone does not check a framing design or the condition of the existing structure.

Record the deck dimensions, the real framing and decking amounts, chosen goods, railing scope, fasteners, finishing and access. Treat unknown existing work as open. A replacement-board quote must not imply that a hidden frame has been inspected or found suitable. This form organizes price and scope, not structural design.

Define replacement versus rebuild

A decking-only job differs from replacing the frame, posts or foundations. State which parts are included and what is known about the rest. Do not price a guessed structural repair under a general contingency line without explaining the risk.

Measure each surface and keep the sketch. Show openings, stairs and separate levels. For a rectangle, multiply length by width to get area.

Board orders need more detail. Use the actual layout and available lengths to work out what to buy. Keep that order list with the project design.

Decking and railing example

Imagine a made-up job replacing the visible deck boards on a measured platform. The base scope includes the named boards, removal and waste handling. Railing replacement is a distinct option. It does not enter the included total unless chosen.

If the frame proves unsuitable, record the finding and new scope. This example does not assume a sound frame. Issue a revised offer for the added work. A decking-only price is not a promise to rebuild everything.

Keep goods and tasks aligned

Label board lengths, pieces and packs with their units. Include fasteners and other required items from the selected system's instructions. Name the finishing and preparation tasks. A material label alone does not define them.

Show the client the included replacement boundary, chosen options and exclusions. Keep the cost details in the private workbook. For a job split into phases, see remodeling estimates. The GAO guide informs scope and basis note records.

Check board lengths without designing the frame

Consider a fictional decking-only replacement with a measured 12 by 10 foot platform. The surface area is 120 square feet. That figure describes the work boundary. It does not by itself say how many boards to buy.

For this exercise, a separate checked layout lists 24 pieces at twelve feet long. It already accounts for the chosen board width, gaps and cuts. The template has not selected those details.

Suppose the invented vendor price is $22 per twelve-foot piece. The planned board cost is $528. The layout also names two spare pieces. At the same price, they add $44 and bring board supply to $572.

Keep the 24 fitted pieces and the two spares visible. A spare board is not another twelve square feet of deck, and a length in feet is not a piece count.

The example fastener schedule calls for three packs at $18 each, or $54. Removal takes ten person-hours in the fictional work plan, while board fitting takes sixteen. At a made-up $30 cost per person-hour, labour costs $780. Add $80 delivery and $120 waste handling. Known decking-only cost is $1606 before later pricing inputs: 572 plus 54 plus 780 plus 80 plus 120.

Keep railing and steps outside this board schedule

Suppose the client asks about a railing change along one side. Measure that side and record the selected system as a separate option. The surface board count does not price posts, railing parts or associated work. Do not use 120 square feet as the amount on a railing cost line.

The same applies to steps. Give them a clear quantity and task description if they are included. A sketch that shows the steps does not automatically put their replacement in a platform-only price. If the option becomes part of the work, update the description and the cost lines together.

Decide what happens if the frame is unsuitable

This example leaves the concealed frame condition unresolved. It cannot support a complete replacement commitment before that issue is settled. Record how the decking-only offer depends on the existing structure and how newly defined work will be priced. A sum for removing boards is not a structural inspection result.

If the client changes the decking product, return to the layout and goods list. Different buy lengths can change offcuts and the number of packs even when the deck area stays the same. Recheck the fastener system too. Do not change only the price per board while carrying forward quantities tied to another product.

Use the shared cost-field reference after checking this takeoff. Keep the board layout, railing choice and frame uncertainty with the deck estimate; they explain which work the arithmetic actually covers.

FAQ

Who receives spare boards after the job?

State the agreed handover of spare goods and offcuts. If the client keeps the two spare pieces in this example, list them as goods handed over. Do not describe them as fitted boards or discard them under a vague cleanup line. If the supplier accepts returns, check the real return terms before assuming a credit. The private order record should show what was bought, used, returned and retained. Those counts explain any later credit without changing the measured deck area.

Keep the selected board layout with the supplier quote.

Can area decide all the deck goods?

No. Area helps set out the surface, but framing, railing, steps, layout and buy lengths need their own basis. Use the real project design and chosen product details. This worksheet does not infer structural sizes or member spacing from area.

Keep the goods takeoff separate from a claim that the design is suitable.

How should railing replacement appear?

Put it in the base scope if it is included, or list it as a separate unselected option. State the extent and spec. If chosen later, update the offer record ID and total. Do not leave an optional railing amount inside a price described as decking-only work.

Verdict on the deck estimate template

Use the deck estimate template to distinguish board replacement from a rebuild. Keep railing and uncertain structural work explicit. The pack calculation checks selling amounts; the trade directory supplies other task worksheets.
