Bid Proposal Template (2026): Editable Pack and Example

On this page7
A bid proposal template records the work you offer, its price and the basis of that price. Give the client a clear scope to compare with other bids. Keep your working costs in a separate file. A bid form helps you record an offer.
It does not decide the legal effect of acceptance.
A useful bid names the job, drawing revision, included work, exclusions, price, validity period and return method. Price alternatives outside the base total. Complete the buyer's response schedule in its stated order. Record all addenda before you submit. Then save the exact sent version and follow-up date.
Page updated 25 October 2026. Source check dates are reported separately in the text and comparison.
Bid proposal template preview
This original example concerns an imaginary small storage-room refit. Its amounts are invented for arithmetic only, not market rates. The client copy has no cost rates or profit figures.

|---|---|
| Record id | BP-014, revision 2 |
| Client | Example Property Team |

| Alternative | Wall repainting, with its own scope and price |

Do not send a total while tax remains open. For the arithmetic behind a client price, start with the estimate pack preview. The preview here shows how to set out the offer, rather than how to price construction in your area.
Fill in the bid proposal template
Begin with the invitation number and client. Add your business details and the person who may answer questions. A title such as “storage-room refit” is too broad by itself. Name the plan, room, site access and work limits that make it a priced task.
Write each inclusion as an action with a boundary. “Install six shelves supplied by the owner” is clearer than “shelving work.” State who unloads, stores and checks owner-supplied goods. If an item is still undecided, list it as a question or allowance with a written basis. Do not bury it inside an assumed total.
Keep the base offer separate from alternatives. If the buyer asks for two finishes, show one base finish and the price change for the other. State if that change adds to or replaces a base line. An alternative must not count twice when the buyer selects it.
Check the bid package before sending
Match the buyer's response fields. A private-job proposal should still include the requested attachments and deadline, but this template does not replace a tender's prescribed forms. Record addendum record IDs and ask about conflicts through the buyer's stated question route.
Save a frozen copy of the files you actually send. Keep the email, attachment names and submission receipt. A later edit to your master file should not alter your record of the submitted offer. Use the bid tracker to set an owner and a dated next action.
Prepare a fair comparison
A buyer can use the bid tabulation sheet to compare included work rather than just headline prices. Never overwrite an original bid to make it look comparable. Put scope adjustments beside it with a reason and source.
For a new solicitation, use the invitation to bid. For circuit and fixture scope fields, see the electrical bid form. These files solve distinct steps in the same process.
Source and method
The GAO cost guide informs the use of a scope baseline and recorded assumptions. This small-job form adapts those principles. It is not a government procurement form. Checked 15 October; full revision date is shown above.
FAQ
Does this bid become a contract when signed?
That depends on its terms, the parties and applicable law. A signature field alone does not settle that question. State the file's purpose and what acceptance means, then follow the agreement process for the job. This form does not supply contract terms for a particular jurisdiction.
Should I send my cost workbook?
Send a fresh client file with the agreed scope and selling price. Keep labour cost, vendor rates and margin in your private records. Hiding a worksheet is not enough to remove those details from a workbook. Open the client file on its own before you attach it.
Verdict on the bid proposal template
Use the bid proposal template when you need a traceable offer against a defined brief. Resolve scope questions first, enter your own prices and save the sent revision. Clear work limits are more useful than a long page of claims about your business.
